Guide for Educators

Everything you need to plan a successful school trip to China

Planning Your School Trip

A step-by-step guide to organizing an unforgettable educational journey

Planning an international school trip is a rewarding but complex task. This guide is designed to help educators navigate every step — from initial concept to returning home with students safely.

We've organized this guide into key phases: Initial Planning, Preparation, During the Trip, and Post-Trip. Each section includes practical tips, checklists, and resources to ensure your China trip is a success.

1

Initial Planning (6-12 Months Before)

Start by defining your learning objectives. What do you want students to gain from this experience? Historical knowledge? Language skills? Cultural awareness? Once objectives are clear, contact us for a tailored proposal.

Key Actions:

  • Define learning objectives and curriculum alignment
  • Set tentative dates and duration (recommend 10-14 days)
  • Get school administration approval
  • Contact China School Trip for initial proposal
  • Review and customize itinerary options
2

Student Recruitment & Preparation (3-6 Months Before)

Once you have a confirmed itinerary, it's time to recruit students and begin preparations. Host informational meetings for students and parents to build excitement and address concerns.

Key Actions:

  • Hold informational meeting for students and parents
  • Distribute registration forms and collect deposits
  • Assist students with passport/visa applications
  • Collect medical information and dietary requirements
  • Begin cultural/language preparation sessions
3

Pre-Departure Preparation (1-3 Months Before)

As departure approaches, focus on practical preparations and building group cohesion. We'll provide detailed packing lists, cultural briefings, and safety information.

Key Actions:

  • Distribute final itinerary and packing list
  • Collect final payments
  • Hold pre-departure meeting with students and parents
  • Review safety protocols and emergency procedures
  • Facilitate group bonding activities
4

During the Trip

Your dedicated guide will handle logistics, but your role as educator remains important. Facilitate reflection sessions, encourage student journaling, and ensure group dynamics remain positive.

Educator Responsibilities:

  • Conduct daily reflection sessions with students
  • Monitor student well-being and group dynamics
  • Facilitate cultural comparison discussions
  • Handle any minor disciplinary issues
  • Document the experience (photos, journaling)
5

Post-Trip Follow-Up

The learning doesn't end when you return home. Help students process their experiences through presentations, journals, or creative projects. This reinforces learning and justifies the educational value of the trip.

Suggested Activities:

  • Student presentations to school community
  • Cultural comparison essays or projects
  • Photo exhibition or travel blog
  • Follow-up language lessons referencing the trip
  • Fundraising for next year's trip

Frequently Asked Questions

Common questions from educators

How far in advance should we start planning?

We recommend starting 6-12 months in advance. This gives ample time for school approvals, fundraising, passport/visa applications, and student recruitment. However, we've successfully organized trips with as little as 3 months' notice.

Do you provide help with fundraising ideas?

Absolutely! We provide a fundraising guide with proven ideas: car washes, bake sales, crowdfunding, community sponsorships, and more. Many schools also integrate the trip into their curriculum and seek grants for international education.

What's the minimum/maximum group size?

Minimum group size is 10 students. Maximum depends on the itinerary and transportation, but we typically cap groups at 40 students. For larger groups, we can split into parallel tracks with separate guides.

Can we customize the itinerary?

Yes! Customization is our specialty. We can adjust the itinerary to match your curriculum, add specific educational visits (universities, businesses, NGOs), or focus on particular themes (language, history, architecture, etc.).

Do you offer professional development for teachers?

Yes! We can arrange school visits, teacher exchanges, or cultural workshops as part of your itinerary. These experiences provide valuable professional development and cross-cultural learning for educators. We can also provide a certificate of participation.
